Getting started

How long does it take to move across?

An afternoon for most portfolios. Add your properties, add your tenancies, and you are running. On Premium yearly and contract plans we run the migration for you, including your spreadsheets, your previous software export and your lease files.

How many properties can I manage?

Listings on TenantBay Rentals are unlimited on every plan, Free included. The dashboard manages up to 4 units end to end on Free. Pro from $29.98 a month and Premium from $44.98 a month are priced by the size of your portfolio, and above 100+ units we quote from $999 a month. There is no ceiling in the software, and never a share of the rent.

I run a building of units rather than separate houses. Does that work?

Yes. A property can be set up as a whole home, room by room, or as a building of units. Units carry their own name, floor, bedrooms, rent and occupancy, and rooms can sit inside a unit. Rent, tenants and payments attach at the level you actually let, and occupancy rolls up, so a twelve-unit building is one entry in your list.

I manage properties I do not own. Is that supported?

Yes. Add the properties you are responsible for and run them the same way an owner would. If you do own them, the year-end package can apply an ownership percentage per property; if you do not, leave that field empty.

What does TenantBay replace?

The listing sites you re-post to, the apps your inquiries arrive in, the lease you email around, the spreadsheet where rent lives, the folder of utility bills and the box of receipts you hand your accountant. One login covers filling the unit, signing the lease, tracking every dollar in and out, and year-end.

Is there a contract?

Self-serve plans are month to month or yearly, and you can cancel at any time. Above 100 units we agree a contract with a named contact and a written response commitment.

What does Tenny actually do?

Tenny answers the renter within seconds on the channel they used, including a spoken phone call. It asks about move-in date, budget, occupants and pets, matches the enquiry to the right property, proposes showing times from your calendar, confirms the booking and follows up after the viewing. Returning contacts continue their earlier conversation.

How do public listings work?

Every rental you publish appears on TenantBay Rentals, free and unlimited on every plan. Each listing carries a tracked link and a QR code per channel, so you can see which channel produced the interest, and you can build a slideshow video from your listing photos.

Do tenants need to install anything to sign a lease?

No. They open a link on any device and sign. Each signer confirms a one-time code sent to their own address, both parties receive a copy, and the signing history is kept with the lease.

How does screening work?

Screening is consent first. Your applicant grants documented consent from a secure link, that consent record is kept, and reports you have run are attached to one file per applicant.

Can I add a guarantor or co-signer?

Yes. Invite a guarantor by email and they co-sign the lease from a secure link, with no account needed. They get their own view of rent status, and if a payment is missed they are alerted with a window to put it right.

Rent, repairs and the day to day

How do I see who has paid across every unit?

One screen. Every tenancy shows paid, pending, overdue or partial, computed from the ledger rather than set by hand. Filter by property, unit, room, status or date range, whether that is four tenancies or four hundred, and export the ledger as CSV or PDF.

Can TenantBay remind tenants to pay?

Yes. Set the rule once and rent reminders, late-payment nudges and a monthly summary send themselves every cycle. Tenants get a receipt for each payment.

How does maintenance work?

Tenants report an issue with photos from their portal, and each issue carries its own timeline through to resolution. RepairBay lets you post the job and compare bids from vetted trades, and the cost lands on the property record.

What happens with utility bills?

Upload the bill and the reading is taken out for you, allocated across the units it covers, with an alert when a bill comes in unusually high. Those costs carry through to year-end.

Can I message all my tenants at once?

Yes. Message one tenant, a selected group or every tenant at once, and the conversation stays attached to the tenancy it belongs to.

Ontario forms and year-end

Which Ontario forms does TenantBay fill?

The Board's own notices from N1 to N13, the L1 and L2 applications with their schedules, and the certificate of service. Each one is filled from your lease and rent records, with the arrears table and the termination date worked out, and the current rent increase guideline built in. You review, sign and serve. This is form preparation, not legal advice.

Does TenantBay do my taxes?

It organises your records rather than filing for you. The rent you received and the expenses you recorded are totalled onto the CRA T776 lines, per property, for the year. You get a plain summary and, on Pro, the line-by-line view, prior years, receipts, the capital cost register and an export for your accountant. What is deductible and what tax is owed stays with your accountant.

Which expenses are captured automatically?

Repairs and maintenance from resolved issues that carry a cost, and utilities from the bills you upload. Everything else, such as mortgage interest, property tax, insurance and professional fees, you enter once against the property and the line, and it flows into the report and the export from then on.

I own a property with a partner. Does that work?

Yes. Set the ownership percentage on the property and the report shows gross rents and expenses in full, the way the CRA expects, with your share of the net worked out separately. Personal-use portions and capital cost allowance are flagged for your accountant to decide.

Can my accountant get in?

Yes. Accountant access is a free read-only seat on every plan, so they can pull the year-end package themselves without seeing your tenants' identity documents.

For tenants

How do I get into my tenant portal?

Your landlord invites you by email, and you set a password from that link. The portal is free for you and always will be.

What can I do in the portal?

See your rent history and receipts, open your lease and any notices, report a repair with photos and follow it, message your landlord, and track shared costs with your roommates.

What can my landlord see?

Your tenancy: the lease, your rent record, repairs you report and messages you send them. Nothing is shared with other landlords, and documents you upload are removed permanently when they are deleted.

Can I pay my rent through TenantBay?

Not yet. Rent is recorded by both sides today, so your payment history and receipts stay accurate whichever way you pay your landlord.

What is free and what is paid?

Free covers unlimited listings, and full management for up to 4 units: tenants, leases, rent, maintenance, the inquiry inbox and your first year-end package. Pro from $29.98 a month billed yearly adds every Ontario notice, the year-end T776 package every year and your own lease templates, and raises the monthly inquiry and AI allowances; on a yearly term it also adds 2 seats, your own phone number and Facebook page. Premium from $44.98 a month is the team plan, with 5 seats, higher allowances and priority support.

Can my team see the portfolio?

Yes. Pro on a yearly term includes 2 seats and Premium includes 5, for a co-owner, a partner, a manager or a bookkeeper, and extra seats are $9.98 a month each. A manager's login is scoped to the properties or units you choose, and you can change or withdraw that access at any time. Manager seats are set up with you rather than by an invite link, and editing rights are narrower than the owner's today.

What happens to my data if I cancel?

Your data stays yours. Records, documents and payment history remain intact, and generated documents stay downloadable on any plan. You lose access to the paid features until you subscribe again.

How is my tenants' data protected?

Every property, tenant and document is private to your account, and the same rules apply on the web and on both phone apps. Lease signing needs a one-time code, subscription payments run through Stripe, and records are archived rather than removed so past notices and balances can still be answered.
